Library Trustees - 9/22/2021

 

Rumney Library Trustees – Approved 11/3/2021

September 22nd, 2021

 

The 2nd meeting of 2021 was opened at 6:00 PM with Trustees Roger Daniels, Lorrie Eaton, and Stacie Winsor present. Also attending were Susan Turbyne, Library Director and Tom Wallace.

 

As the meeting got under way, the board congratulated our Chair, Roger Daniels, for the honor he received earlier this month when he was recognized by the Rumney Historical Society for the many hours of service he has given the Rumney Museum over the past forty years. The Selectmen declared September 11th, 2021, as Roger Daniels Day in Rumney with a proclamation. Board members, Lorrie Eaton and Stacie Winsor thanked Roger for his many years serving on the Byron G Merrill Board of as well, and the contribution he has made to the library.

 

Lorrie Eaton moved that the minutes from our meeting on May 17th, 2021, be approved as presented. The motion was seconded by Stacie Winsor and passed. The approved minutes will be forwarded to the town office and placed on the Rumney Trustees blog.

 

A cash flow report for 2021 Second Quarter (April 1, 2021, thru June 30 2021) was presented. Lorrie Eaton moved that the report be approved. The motion was seconded by Stacie Winsor and passed.

 

Tom Wallace, our liaison with the firm, Shakes to Shingles, reviewed their proposal outlining a plan of conservation measures to make the Byron G Merrill Library more energy efficient. After discussion, Lorrie Eaton moved that we accept the proposal from Shakes to Shingles and move forward on this project. The motion was seconded by Stacie Winsor and unanimously passed. Tom will forward this news to Shakes and Shingles and will report back at our next meeting with the work schedule. The board thanked Tom for his work on this project.

 

We will meet again in early November for an update on the ‘Energy Conservation Project” from Tom, an update on the “chimney project” from Roger and Joe Chivell, a budget proposal and a review of our trust funds from Stacie, and a discussion on having our building inspected to help with our long-term planning.

Library Trustees - 5/17/2021

 

Rumney Library Trustees – Approved 9/22/2021

May 17th 2021

 

The 1st meeting of 2021 was opened at 6:30 PM with Trustees Roger Daniels, and Stacie Winsor present. Lorrie Eaton was available by phone. Also attending was Susan Turbyne, Library Director.

 

Lorrie Eaton moved that the minutes from our meeting on October 26th 2020 be approved as presented. The motion was seconded by Stacie Winsor and passed. The approved minutes will be forwarded to the town office and placed on the Rumney Trustees blog.

 

A cash flow report for 2021 First Quarter (January 1 2021 thru March 31 2021) was presented. Lorrie Eaton moved that the report be approved. The motion was seconded by Stacie Winsor and passed.

 

The following concerns having to do with old business were discussed:

 

·         Furnace Project – Tom Wallace and Charles Buckley worked on the heating and energy saving projects proposal through the months of November, December, and January. The drawings for a new hot water system have been completed by Mr Buckley at no cost to us and a thank you to him has been sent. Tom is waiting for some additional numbers and will then finish up the proposal and present it to the board for approval at our next meeting.

 

·         Fire Alarm System – Our alarm system has been malfunctioning for some time and money was set aside at the end of the year to fix it. Due to covid and the library schedule being in flux, the work has not been completed. We will proceed and set a date for the work.

 

·         Battery – It is the opinion of the building safety inspector that we replace the battery that operates the outage lights and signage in the new entry. Money was set aside for AES Electric to take care of this at the end of the year but they have been unable to come. We will call and schedule a date for the work.

 

·         Maintenance – The town has agreed to take care of the mowing and Steve Daniels has agreed to neaten up around the outside of the building. A final check will be sent to Oikle and Sons for cleaning up this spring.

 

·         Mail Box – The new mail box has been installed.

 

·         Replacement of the apron around the perimeter of the building – It was agreed to table this project.

 

·         Closet/Safe area – This area needs to be cleaned out and refurbished as part of the ceiling is falling down. It was agreed that we will look for someone willing to take on this “small job” repairing the ceiling and painting. Lorrie has a couple of people to call.

 

·         Damage on the roof, loss of some shingles and metal cover on top of chimney has fallen off – It was agreed that we need to have more information about what needs to be done. Lorrie and Roger have some people to contact.

October 26, 2020

 

The 3rd meeting of 2020 was opened at 5:30 PM with Trustees Roger Daniels, Lorrie Eaton, and Stacie Winsor present. Also attending was Susan Turbyne, Library Director.

 

Lorrie Eaton moved that the minutes from our meeting on June 19th 2020 be approved as presented. The motion was seconded by Stacie Winsor and passed. The approved minutes will be forwarded to the town office and placed on the Rumney Trustees blog.

 

Cash flow report for 2020 2nd Quarter (April 1 2020 thru June 30 2020) and 3rd Quarter (July 1 2020 thru September 30 2020) were presented. Lorrie Eaton moved that the reports be approved. The motion was seconded by Stacie Winsor and passed.

 

Stacie presented and reviewed our budget request for 2021. Lorrie moved that the budget request be approved. The motion was seconded by Stacie and passed.

 

Susan updated us on operations…Coronavirus has affected life at this library. Since March, “Porch-side” pick up was put in place and visits “by appointment” were added late spring…both have been well received. At this time, at the request of our patrons and with the awareness of our comfort level, we plan to continue our abbreviated hours without appointments. The two day schedule will give us time to deep clean and quarantine our books between open days. Looking ahead through the holidays, we plan to be closed on the Saturdays following Thanksgiving, Christmas, and New Year’s. In order to keep the Rumney community up to date on our procedures and happenings, each week we put together a “This Week at the Library” page which is sent to the Plymouth Record, sent as an email to our patrons, added to our blog and displayed at the front of the library.

 

Susan asked to speak about the fire alarm system which has been malfunctioning.

Discussions have involved David Coursey (Rumney Fire Chief). Bob McNaughton (Independent Systems Distributors Inc provider of the equipment) and Kevin Peters (AES Electric who installed the system). We have received a quote from Independent Systems to replace the batteries and reprogram the box in the amount of $2,803.36. Stacie will do some research as to our options and will report back.

 

Tom Wallace arrived to fill us in on his research concerning our need for a new heating system. There seems to be a consensus that we should change from steam to a hot water system and the next step will be to put together a warrant article for the March 2021 Town Meeting for funding approval. Tom and Charlie Buckley, a resident engineer, will work on this.

·         In addition we are studying cost saving ways to improve our insulation in the attic and on the stairway to the attic in order that we may save on heating bills. Also of concern are the skylights.

·         As we move forward, we are also interested in a cooling system.

Once costs are estimated for these projects, we will meet again and define the scope of the project.
